LeetRoster™ provides websites and registration tools to sports organizations. We use information to run those services, process payments, protect accounts, and communicate about activity. We do not sell personal information or use it for cross-context behavioral advertising.
Scope and roles
This Privacy Policy applies to LeetRoster’s public website, organizer workspace, team and organization websites, family portal, registration and payment flows, emails, and related services (the “Services”). It does not cover a third-party website or service that has its own privacy policy.
LeetRoster operates the platform and determines how account, security, billing, and platform operations data is handled. A team, club, or league using LeetRoster also decides what program, roster, registration, content, and communication information it collects and how its authorized staff use that information. Questions about a particular team’s decisions should be directed to that organization; LeetRoster will help route a request when appropriate.
Information we collect
Account and contact information
Names, email addresses, optional phone numbers, password credentials in hashed form, account roles, email-verification status, support communications, and login or account-recovery activity.
Organization and website information
Team, club, and league names; sports, divisions, schedules, scores, rosters, staff roles, news, photos, logos, files, domains, registration programs, pricing, and other content organizers choose to publish or manage.
Family and player information
Contact details, participant names, dates of birth, guardian or self relationships, team relationships, registration selections, and other details needed for a program. Organizers may also configure waivers; we keep the applicable document version, signer details, signature intent, and acceptance time.
Transaction information
Plan or program selected, amount, currency, discounts, payment status, refunds, fees, payout status, invoice links, and identifiers supplied by Stripe. LeetRoster does not receive or store full payment-card numbers or full bank-account credentials.
Technical information
Session and security-cookie data, IP-derived and browser-derived security signals, device and browser information, request times, pages used, referral information, error data, and records needed to detect abuse, prevent fraud, and document important actions. Where practical, LeetRoster stores a one-way fingerprint instead of the underlying network or browser value.
We collect information you provide, information provided by an organization or authorized user, information created when the Services are used, and limited information from service providers such as Stripe and email-delivery vendors.
How we use information
- Provide, personalize, maintain, and improve the Services.
- Create and secure accounts, workspaces, websites, registrations, and family records.
- Process subscriptions, program fees, receipts, refunds, and organizer payouts.
- Send verification, access, receipt, registration, scheduling, support, and service notices.
- Publish content an organizer intentionally makes public, such as a team website, schedule, roster profile, or news article.
- Enforce agreements, protect users, investigate abuse, meet legal obligations, and preserve reliable business records.
- Understand product performance and usage when analytics is configured.
How information is shared
We disclose information only as reasonably needed for the Services, including:
- Organizations and authorized staff. Registration, player, family, message, and program information is available to the team, club, or league running that activity and to staff it authorizes.
- Families and participants. A family account may show registrations, players, receipts, schedules, team assignments, and related records the user is authorized to manage.
- Service providers. Hosting, storage, content-delivery, email, security, analytics, and payment providers may process information under agreements or terms supporting their services.
- Legal and safety needs. We may disclose information when reasonably necessary to comply with law, protect rights or safety, investigate fraud or abuse, or respond to valid legal process.
- Business changes. Information may be transferred as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections.
LeetRoster does not sell personal information and does not share personal information for cross-context behavioral advertising.
Youth sports and children
Organizer and family accounts are for adults. A parent or legal guardian must submit and manage information for a child who is not eligible to register independently. The Services are not directed to children under 13, and children under 13 may not create their own account or submit information directly to LeetRoster.
Because youth sports organizations may need information about children, an adult may provide a child’s information for registration and team administration. That adult represents that they have authority to do so. Organizations remain responsible for obtaining any consent required for rosters, communications, photos, publicity, background checks, and local program operations.
A parent or guardian may ask to review, correct, or delete a child’s information by contacting the organization or LeetRoster. Some registration, payment, signed waiver, safety, or legal records may need to be retained.
Payments and financial services
Stripe processes subscription payments, program-registration payments, refunds, and organizer payout onboarding. Payment and identity information entered in Stripe’s interface is handled by Stripe under its own terms and privacy notice. LeetRoster receives transaction status, customer and account identifiers, amounts, invoice or receipt information, and payout-readiness signals needed to operate the Services and reconcile transactions.
Cookies and analytics
LeetRoster uses essential cookies and similar browser storage for sessions, authentication, form security, preferences, and fraud prevention. Blocking essential cookies may prevent sign-in, checkout, or registration from working.
When Google Analytics is configured, we show a choice before analytics loads. You can allow analytics, keep essential storage only, or choose your preference by category. You can reopen Privacy choices in a site footer later to change that choice.
Analytics helps us understand aggregate page use and high-level journey progress, such as website setup, registration, and checkout steps. We do not send names, email addresses, player details, payment details, account IDs, or other direct identifiers to Google Analytics, and we do not use analytics for targeted advertising. Browser controls, content blockers, and Google’s available opt-out tools may limit analytics collection.
Retention and security
We retain information for as long as needed to provide the Services, maintain an account, satisfy payment, tax, audit, safety, dispute, and legal obligations, enforce agreements, and keep reliable backups. Unfinished signup and registration drafts expire on shorter schedules. Transaction records, signed waivers, legal acceptances, and security records may be retained longer where reasonably necessary.
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, encrypted network transport, password hashing, session protections, and restricted storage. No system can guarantee absolute security. Users should protect credentials and notify us promptly of suspected unauthorized access.
Your choices and privacy rights
You may update many account and registration details through the Services. You may also request access, correction, deletion, or a portable copy of personal information, object to or restrict certain processing, or withdraw a prior request where applicable. We may need to verify identity and authority before acting. We may deny or limit a request when an exception applies, and we will explain available appeal options when required by law.
You may unsubscribe from optional marketing email using the instructions in that message. Transactional, account-security, payment, and registration messages remain necessary while the applicable service or record is active.
Authorized agents may submit a request where permitted by law, subject to verification. We will not discriminate against a person for exercising an applicable privacy right.
Changes and contact
We may update this policy as the Services or law changes. We will post the revised version and effective date and provide additional notice when a material change requires it. Continued use after an update is governed by the updated notice; where consent is legally required, we will request it separately.
For privacy questions or requests, email privacy@leetroster.com. Include the account email and the team, club, or league involved, but do not send payment-card, password, or sensitive identity documents by email.
